Attendee/Coordinator Job Description

REGISTRATION AND CANCELLATION

As an attendee coordinator, your registration tuition is reduced to the non-refundable, non-transferable rate advertised in the seminar brochure. PESI reserves the right to terminate coordinator privileges due to misconduct or unsatisfactory completion of responsibilities.

As the coordinator, you will qualify for the same continuing education credits as other attendees.

**Lodging, food, and transportation arrangements are on your own and at your discretion.

CANCELLATION POLICY: The coordinator registration is a non-refundable, non-transferable registration. If needing to cancel, you will forfeit the tuition.

  1. You need to call PESI Program Services (1-800-647-8079 Ext. 2) as soon as you determine you cannot fulfill the commitment.
  2. You will also need to send an email ASAP to coordinators@pesi.com, letting the PESI team know you are cancelling.

REQUIREMENTS

  1. Email Address: Provide an email address that is monitored regularly. If your email address changes, we ask that you notify us immediately.
    • Our team will communicate with you via email prior to the event. As the coordinator, you will receive confirmation and reminder emails regarding event information; this includes instruction, access to the online coordinator portal, materials for the event, and additional information.
  2. Cell Phone Number: The coordinator is responsible for communicating with PESI staff the day of the event. A cell phone number must be on file to reach you as needed.
  3. Cell Phone or Tablet with Data: The coordinator is responsible for tracking attendance information during the event. This attendance tracking is completed via an online portal, that the coordinator will need access to at multiple points throughout the event.
    • Because of this, the coordinator is required to have a cell phone, tablet, or other device they can access the internet from. This device must have its own source of data, as not all facilities will have complementary wifi.
  4. Availability: Be available throughout the event to answer attendee questions, assist the speaker, sell products, troubleshoot situations, and support the event as needed.
  5. Event Documents: Print and bring with you all necessary documents.

DAY OF EXPECTATIONS

  1. Arrive at the facility one hour prior to the seminar start time. This extra time allows you to complete the responsibilities outlined above. You are not allowed to display promotional materials other than those dictated to you by PESI. This includes, but is not limited to, materials from companies and/or associations that you may be affiliated with. PESI reserves the right to determine what materials are displayed at our seminar sites. You are not allowed to bring guests or assistants. If we determine that a second coordinator is needed, we will arrange it. Dress code is business casual.
  2. Unpack materials that were sent to the seminar site (if applicable).
  3. Event registrations, which includes greeting attendees, distributing materials, and continuing education information.
  4. Make the morning announcements and introduce the speaker.
  5. At the end of the day, pack up the remaining materials and prepare for return shipment (if applicable).
